Visiting Our Schools

At Xenia Community Schools, the safety and security of our students, staff, and visitors are our top priorities. 

To ensure a secure learning environment, we are will be using Navigate360, our new visitor management platform. The implementation of the Navigate360 visitor management system is governed by Board Policy 9150 - School Visitors and the corresponding Administrative Guidelines on the Xenia Community Schools BoardDocs site.

Beginning April 13, 2026 Xenia Community Schools will pilot the Navigate360 visitor management platform first at Tecumseh Elementary, with a full districtwide rollout to follow at the end of April. This system is designed to enhance the safety of our students and staff by providing an accurate, real-time record of everyone in our buildings.

When visiting any Xenia school or district building, families and community members will:

  • Check in at a computer kiosk using a government-issued ID (see list on the FAQs on this page).
  • If you will be moving past the main office, you will need a printed badge to be worn visibly at all times.
  • Check out at the main office or security desk before leaving.

The system performs a secure check against the National Sex Offender Registry and our district’s restricted visitor list. This allows us to quickly identify authorized visitors while maintaining precise records.

We take your privacy seriously! Your ID information is used ONLY for check-in purposes and is not shared outside the district. No data is stored beyond what is required to log entry and exit.

  • ​​​​​​​Acceptable forms of identification include:

    • U.S. State-issued Driver’s License
    • U.S. State-issued ID Card
    • U.S. Passport or Passport Card
  • Navigate360 runs a search against the National Sex Offender Registry and the Xenia Community Schools restricted list. Please note that bans are districtwide; if an individual is restricted from one campus, they are restricted from all Xenia Community Schools buildings.​​​​​​​

  • ​​​​​​​Not having an ID will not prevent you from participating in school activities.

    • Returning Visitors: If you have checked into any district building with an ID previously, the front desk can search for your name to verify your prior clearance.
    • New Visitors: If you have never checked in before, a staff member can manually enter your name and date of birth to run the required registry checks. A photo will be taken for manual entry to create your badge.
  • The volunteer application and approval process remains separate. Volunteers must still complete their background check through the district’s established procedures.

    Once approved, volunteers can be added to Navigate360, allowing for a streamlined check-in process upon arrival.

  • As in the past, you and those you have authorized to pick up your child will need to show ID. You will check in at the kiosk, and office staff will verify your identity to ensure you are an authorized contact.

  • No. The Navigate360 system does not permanently store sensitive personal data like driver’s license numbers. Information is stored securely and used only for campus safety records.
